Electing to receive your 1095-C and W-2 forms electronically, 2019 Social Security wage base increase

The end of the year means that tax season is just around the corner. UF faculty and staff have the option of receiving their tax forms electronically or by mail. We also want to be sure you’re aware of a Social Security wage base increase for 2019. Learn more below.

Electronic 1095-Cs

Employees may elect to receive their 1095-C form electronically. If you did not elect this option during Open Enrollment, you may still do so by logging on to People First (see instructions below). Employees who want to receive the 1095-C form electronically must complete the election by 5 p.m. Eastern time on Tuesday, Dec. 11.

1095-C forms should be available to employees by Jan. 31, 2019, and can be accessed in People First by going to the Employee landing page > Insurance Benefits > Health Insurance Tax Forms. If you do not elect electronic delivery, Form 1095-C will be mailed to the mailing address of record in People First in early 2019.

To elect to receive this form electronically, log on to People First and click on “Contact Information” on the left side of the page. On this screen, you should see your home and mailing addresses. (If you need to update either or both addresses, contact your department’s Identity Management coordinator or follow the instructions found here.) To consent to receiving your 1095-C form electronically, click on “Notification Email” and then “Edit,” mark the check box for the 1095-C form to be sent electronically, and then hit “Save” and “OK.”

Please note that the electronic delivery option applies only to state health plans; GatorCare health insurance plan participants’ reporting forms will be sent by postal mail.

To locate your People First ID, you can visit People First and click on “Forgot Login ID (you will need to enter your Social Security number and date of birth). People First passwords expire every 90 days. To reset, visit People First and follow the “Forgot Password” instructions. For further assistance, call 1-866-663-4735.

Electronic W-2s

You may also elect to receive the Form W-2 electronically when it is generated in January 2019. Participating in this initiative:

  • Allows you to retrieve your electronic W-2 earlier than the printed W-2s
  • Furthers UF’s sustainability efforts
  • Provides electronic access to your previous UF W-2s
  • Results in cost savings (reduced postage, supplies and labor)

If you would like to receive an electronic W-2 in place of a mailed version, log in to myUFL and navigate to: Main Menu > My Self Service > Payroll and Compensation > W-2/W-2c Consent. To view or edit your mailing address in myUFL, navigate to: Main Menu > My Account > Update My Directory Profile.

Printed W-2s for all employees who have not provided electronic consent will be mailed on Jan. 31, 2019, to the home address listed in the UF directory as of Jan. 21, 2019. Any address changes made after this date may not be reflected on your 2018 W-2.

2019 Social Security wage base increase

Please also note that the 2019 Social Security wage base will increase to $132,900 (up $4,500 from the 2018 wage base). The maximum Social Security tax employees and employers will each pay in 2019 is $8,239.80 ($132,900 x 6.2 percent). The employer’s and employee’s portions of Medicare tax remains unchanged at 1.45 percent. Wages paid in excess of $200,000 are subject to the 0.9-percent Additional Medicare Tax and are withheld from only the employee’s wages.
